RESPONSIBILITIES OF CLEAR PROGRAM
SUBCOMMITTEE
 
CHAIR & VICE-CHAIR

Know the professional background of your committee members well enough to make wise decisions about who to have coordinate and moderate each session. Usually, sessions are only as good as their moderators\coordinators. If you don't know much about your subcommittee members, take some time before the planning meeting to get acquainted: call and introduce yourself, inquire about areas of interest or expertise, ask previous chairs for opinions and recommendations, and so forth.

PRE MID-YEAR MEETING
1. Contact all subcommittee members and welcome them to the team. The committee lists are online through CLEAR's Web site (http://www.clearhq.org)
2.  Review evaluation forms from the past conference and share the information with the subcommittee.

AT MID-YEAR MEETINGS:
1. Follow Program Planning Process, using Program Chair's chosen team-building  approach.
2. Provide guidance for subcommittee to develop a range of:
    a. session formats
    b. difficulty levels
    c. target audiences
3. Based on these parameters, guide subcommittee to select ( or develop session topics if necessary) and select coordinators.
4. Review past two programs to see that sessions (except basic training) will not be duplicative; if similar topics, assure that perspective or level of difficulty will differ substantially this time.
5. See that a length of time and preferred time slot are tentatively assigned to each session.
6. Help suggest speakers for each session. Reinforce that speaker should have been heard by someone who judges the candidate not only knowledgeable, but an excellent public speaker.
7. Ensure that session coordinators are willing and able to devote the necessary time and energy to the project; keep in periodic touch to verify ongoing progress. Assign alternate or co-coordinators if necessary.

POST MID-YEAR MEETING
1. Work with staff to prepare minutes and place online for subcommittee members and Program Chair.
2. Work with staff to maintain close contact with session coordinators, seeing that all deadlines are met; inform Program Chair of general progress and any potential problems.
3. Make necessary changes in session topics and\or coordinator if substantial progress has not been made by mid March. Inform CLEAR staff and Program Chair.

RIGHT BEFORE CONFERENCE
1. Try to contact, or have staff contact,  session coordinators and\or moderators immediately before the conference begins to verify there are no changes.
2. If there are last-minute speaker or moderator changes, notify CLEAR staff and  Program Chair.
