RESPONSIBILITIES OF CLEAR PROGRAM
SESSION COORDINATOR
NOTE: Duties may be shared with other subcommittee members.
Notify the subcommittee chair and staff if this is the case.

Make initial contact with proposed speakers. Choose and invite proven speakers
only - those that either you or someone whose opinion
you trust has actually heard.

Write to speakers, introducing rest of panel, and
outlining timeframes for needed items: bio/resume, text for
professional introduction; outline of presentation, A/V needs. Forward these
items to subcommittee chair and to CLEAR staff.

Determine the general format of the session (debate,
lecture, vignette, etc.).

| 4. |
Provide speakers with information on other session
members and on their presentations.
Provide speakers with PowerPoint template. |
| 5. |
Keep in touch with speakers as they develop their
presentations to see that they dovetail but do not overlap.

| 6. |
Schedule conference calls between self, chair,
moderator, and speakers six weeks and two weeks prior to conference.
|
| 7. |
Ensure that speakers submit
presentations/handouts by the deadline for online distribution before
the conference. Arrange for, or ensure that speakers arrange for,
duplication of own handouts if not submitted by the deadline.

| 8. |
Confirm, in writing, speakers' appearances and travel
plans; arrange to meet at hotel for an informal welcome.
