Proposal Review Timeline
December 10 - (Sub)committee members receive access to their individual reviewer portals
January 5, 9am EST - Review deadline
January 6 - Subcommittees receive Midyear Meeting materials
January 8-9 - Midyear Meetings in Nashville, TN
January 26 - February 28 - Proposal notification window (staff to send notifications to proposal coordinators)
March 2026 - Annual Educational Conference Program release

Proposal Review Portal (Pheedloop)
Your proposal review portal allows you to view all information for proposals in your track. You will see the page is divided into three columns that scroll independently:
Left column: List of proposals in your track.
You can only view the proposals in your assigned track (based on your subcommittee). The counter at the top will keep track of the number of proposals you have reviewed. Be sure to scroll down in this section to view all proposals in your assigned track. Click on the proposal to populate the details in the middle column.
Middle column: Proposal details, including all session information.
Scroll through this column to view all of the proposal details. If you are working on a smaller screen, you can click the carrot at the top left of this column to collapse the proposal list (left column).

Note: the Blue button in the lower right opens the Accessibility Adjustments where you can adjust the font size, increase/decrease contrast, and more.
To review a proposal:

Click on the proposal title in the left column. Note: Both session and poster proposals were submitted in this call, so be mindful of the format for which the proposal was submitted. Review the proposal details in the middle column.
- Complete the proposal review form in the left column. You’ll be asked if you want to review or abstain:

If you select REVIEW, the review questions will populate; scroll down to view all of the questions:
You'll be asked to review/rate the proposal on the following criteria:
Does the proposal (Answer Yes, No, or Unsure)
- Subject matter is relevant to CLEAR's mission
- Proposal is innovative & interesting or reflects a popular topic from past conferences
- Proposal is research-based/provides new knowledge
- Proposal includes/is relevant to international perspectives
- Subject matter is applicable across multiple professions
- Content is diverse, equitable, and inclusive
- Proposal includes clearly stated learning objectives
- Session includes audience participation or Q&A
- Proposal description is well-developed and comprehensive
Overall Proposal Rating:- 5 – Strongly recommend accepting
- 4.5
- 4 – Accept with minor changes
- 3.5
- 3 – Accept with major changes
- 2.5
- 2 – Recommend Rejecting
- 1.5
- 1 – Strongly Recommend Rejecting
Would you recommend this proposal for:- A keynote/plenary presentation
- Another CLEAR offering (conference poster, webinar, podcast, case study, etc.)
If you recommended accepting with revisions, including recommendations to combine, please note those in the appropriate comment box
Provide any other/general comments regarding the proposal.
- Click “Submit Review” at the bottom of the page to save your responses. You can update your reviews at any time during the review window (December 10 – January 5).
